Sending multimedia content and documents within chat conversations in Microsoft Teams
To enable file sharing in Microsoft Teams chats, especially for sharing files with external users, you need to configure the sharing settings in both Teams and SharePoint. Here are the steps you can follow:
- Enable Guest Access: Ensure that group owners can add people outside the organization as guests. This can be done by selecting the Let group owners add people outside the organization to groups checkbox in the Microsoft 365 Groups guest settings.
- Configure Sharing Settings in SharePoint:
- Sign in to the SharePoint admin center as an administrator.
- In the left navigation pane, select Policies > Sharing.
- Set the sharing level for SharePoint and OneDrive to one of the following options:
- Existing guests
- Anyone
- New and existing guests
- Check File Permissions: When sharing files, ensure that the permissions are set correctly. You can choose options like Anyone, People in your organization, or People you choose. Make sure that the selected permissions allow external users to access the files.
By following these steps, you should be able to share files such as Word and Excel documents in Teams chats, including with external users.
