How to copy template checklist with tasks to other projects on teams

    Based on the Teams screenshot you provided, the prompt you’re seeing (“Add an existing page,” with a field to paste a link) indicates that you’re currently adding a SharePoint/Page-type tab, rather than a Planner (Tasks) tab. In this flow, Teams is specifically expecting a page URL, which is why your Planner plans list isn’t appearing.

    To add your checklist as a Planner plan within a Teams channel, I’d recommend trying the following approach instead:

    • Go to the Team and channel where you want the checklist to appear.
    • Click the + (Add a tab) at the top of the channel.
    • Search for and select Planner (or Tasks by Planner and To Do).
    • Choose Add an existing plan (or create a new plan if needed), and then click Save.

    If your plan still doesn’t show in the “existing plan” list:

    If your plan still doesn’t appear in the existing plan list, it’s important to note that Teams only lists plans that are shared with the same Team or the Microsoft 365 Group associated with that Team.

    From your Planner screenshot, your template plan appears to be shared with one specific Team. As a result, if you’re trying to add it to a different Team or channel, it may not show up as an option.

    As a workaround, you can create or copy the plan directly into the Team where you want to use it so that it’s associated with that Team’s group.     Hello again,

    I found the template that I copied on " MY PLANS" (see 2nd imagine). I opened it again and reassociated it on the web to the team's group/channel. There is no list of plans for me to pick from.. please see 1st image.

    I followed the steps below, but the problem again is I am not seeing the plan I copied. There is no visible list showing it. Please explain what am I doing wrong?

    To make the copied plan visible in the target Team, you’ll just need one additional step in Teams:

    • First, open the destination Team and go to the channel where you want to use the copied checklist.
    • Then, select + (Add a tab) at the top of the channel. Choose Tasks by Planner and To Do. Select Use an existing plan, and in the list, look for the plan name you copied.
    • Finally, save the tab, and the copied checklist should appear in that channel.

    Unfortunately, I am not having any success even though I followed the steps below:

    From what you’re showing, your “template checklist” appears to be a Planner plan that’s surfaced in Teams through Tasks by Planner and To Do, with buckets acting as columns and tasks containing checklists. With that in mind, the most straightforward and reliable way to reuse this setup across other Teams “projects” is to copy the entire Planner plan and then add the copied plan as a tab in the destination Team or channel.

    To help you get there smoothly, you can follow these steps:

    • First, open the plan in Microsoft Planner on the web. This is important, as the Copy plan option is most consistently available in the web experience.
    • Next, select the three dots (…) in the upper‑right corner of the plan, and then choose Copy plan.
    • After that, select the destination Microsoft 365 Group or Team (in other words, the Team that backs your target project or channel).
    • Then, choose which elements you’d like to copy, such as the description, checklists, labels, dates, or attachments and select Copy plan to proceed.
    • Finally, go back to Teams, open the target Team or channel, select + (Add a tab), choose Tasks by Planner and To Do, select Use an existing plan, and pick the newly copied plan. This step links the copied plan directly into the project space.

    • When copying a plan to a different group or Team, certain elements, most commonly assignments, attachments, and labels may not carry over, as these can be group‑specific.
    • However, buckets (columns), tasks, and checklists do copy successfully, provided they’re selected during the copy process.

    If, instead, you only need to reuse part of a checklist rather than the entire plan, there’s also a more granular option available. In that case:

    • Open the individual task you’d like to reuse.
    • Select … (More) and then choose Copy task.
    • From there, select the destination plan and bucket, choose which task details to include, and confirm.

    This approach is the official method for copying or moving tasks across plans, although it does typically work one task at a time.
