Hi @DETTMER, ANDREW J CPO USAF AETC AFSNCOA,
Thank you for posting your question in the Microsoft Q&A forum.
Based on the details you shared, I understand you are using shared smartboards with Microsoft Teams and would like to remove user profiles after each person finishes using the device. I truly appreciate you outlining your setup so clearly, as it helps ensure the guidance fits your shared environment.
This behavior is expected because Teams can store sign-in information on the device to keep users connected and make future access quicker. On shared smartboards, those saved accounts may remain visible until the user is signed out and the account is removed from Teams and, in some cases, from the device’s operating system. As a result, the exact removal steps can differ depending on whether the smartboard is running Windows, Android, or a Teams Rooms experience.
Below are a few practical solutions that could best fit your current needs:
1/ Sign out of Teams for the user who is finished
- Open Microsoft Teams on the smartboard.
- Select the profile picture (commonly in the top-right corner).
- Choose Sign out.
- Close Teams and reopen it to confirm the profile is no longer active.
2/ Remove the account from within Teams (if it remains listed)
- In Teams, go to Settings.
- Open Accounts and org (or Accounts, depending on the Teams version).
- Select the user account that should be removed.
- Choose Remove account (or the closest available option) so the profile no longer appears on the device.
3/ Remove the account from the smartboard’s device settings (most effective for shared devices)
If Teams continues to show the account, removing it at the device level typically clears the remaining saved credentials.
If the smartboard runs Windows
- Open Windows Settings.
- Go to Accounts, then select Access work or school.
- Choose the account and select Disconnect.
- Also check Email and accounts and remove the account there if it is listed.
If the smartboard runs Android
- Open Device Settings.
- Select Accounts.
- Choose the Microsoft work or school account.
- Tap Remove account.
4/ Reduce future profile build-up with a shared-device sign-in approach
To keep the smartboard ready for multiple users throughout the day, the most sustainable approach is to avoid adding each individual user account to the board.
- Sign in to the smartboard using a dedicated shared device or room account.
- Have users join meetings using Meeting ID or by joining from their own device, rather than signing into Teams on the board with personal credentials.
- If your organization uses device management such as Intune or a vendor console, apply settings that restrict adding accounts and enforce sign-out or periodic cleanup.
- Establish a quick end-of-session routine that includes signing out and confirming the account is removed before the next user begins.
I hope this information is helpful. Please follow these steps and let me know if it works for you. If you have any updates regarding the issue, please feel free to share them with me.
Thank you for your patience and your understanding. I look forward to continuing the conversation.
