    Dear @Evette Deconinck,

I understand your confusion. However, the “Meeting options” section in Teams does not control whether a meeting is online or in-person. It only manages settings like lobby, presenters, and permissions, so you won’t find any location or toggle there.

From my research, in the new design, the distinction between a remote meeting and a physical meeting is no longer determined by a simple toggle in the meeting creation window. Instead, it is managed by the Location field and the automatic assumption that a meeting is in-person unless a Teams meeting is explicitly added.

Therefore, to change a meeting from online (Teams) to in-person, the organizer must edit the meeting directly in the calendar (Teams or Outlook), not in Meeting options.

    • Step 1: Open the meeting from your Calendar (Teams or Outlook) > Click Edit
    • Step 2: Remove/Delete the Teams meeting link if it’s no longer needed > Enter a physical room or address in the Location field > Save and send the update to attendees.

Moreover, to schedule new event/meeting that your users will understand is strictly for a physical location (with no remote Teams link), follow these steps:

    • Step 1: In the new Teams client, navigate to the Calendar tab > Click + New Event > In the meeting creation form, fill out the Title, Attendees, and Time > In the Location field, enter the physical location name (e.g., "Main Office Break Room").
    • Step 2: Crucially, ensure the "Teams meeting" toggle/button is OFF or not present. The absence of a Teams meeting link signifies the event is in-person.

Note: If you are using a room that is part of your organization's resource booking system, entering the room name in the Location field will correctly book the physical room and signal the in-person nature of the event.

I agree that having a clear toggle (like “Online / In‑person”) directly in the meeting options would make this much easier and more user-friendly. I strongly recommend that you share your detailed experience and feedback directly with the Microsoft product team.

To ensure your feedback reaches the right teams, I highly recommend submitting your feedback directly to Microsoft Ideas · Community, where our product development team can know your requirements and ideas for product improvements. If enough users raise ticket for the same idea, Microsoft may consider adding this feature in the future.

I hope the information is helpful. Please try the steps above and let me know if they work. If not, we can continue working together to narrow this down.

The first response may not always resolve the issue right away, but with your help and more details, we can work toward a solution.

Thank you for your patience and understanding. I'm looking forward for your reply.
