Planner - Attaching an Actual File to a Private Task

I'm looking for a simple, non-technological response to a simple software question. And FYI, there is a ton of much better Task Management software out there that is much more user friendly and so much more intuitive to actually use and operate. I have them. But my company wants our team to work in Planner. Makes sense, we are all based in Office and it offers a consistent look. But it's stupid really........we should all just pay $40 for the year and get a task management service that works and doesn't require asking NASA for silly support questions.

So I'm stuck with "Planner". Oh the irony (MS makes things so difficult........if you're a computer engineer, then you have no idea how awful your responses and your programming is to the normal world).

Don't tell me to restart the PC. Or the program. The internet is full of useless answers, so I am here to request the assistance (once again.......there's still a ton of people out there suffering like me because the answers are awful) of HOW DO I ATTACH A FILE TO A PRIVATE TASK THAT HAS NOTHING TO DO WITH ONENOTE, SHARE POINT, WORD, OR A SHARED TASK............ITS JUST ME, MY LAPTOP, AND MY TASK. I want to attach a file...........located on my PC. To a task so I don't have to reopen explorer to open the file that I want attached to my task.

Why is this so difficult to answer? Why do I need to do anything (should already be capable)? And why isn't it intuitive to locate on my own?

    Hi @Blake Jehle

Good day, and I appreciate the clear explanation of your concern.

From your description, you would like to attach a file that is saved on your laptop to a private Planner task so you can open it directly from the task whenever you need it.  In Microsoft Planner, task attachments are designed to live in Microsoft 365 cloud storage so they can open reliably from the task across devices and sessions, rather than staying only on a single computer. For group based plans, uploaded attachments are stored in the SharePoint document library connected to that plan, which is why Planner does not support a true local only attachment experience.

With that in mind, below are some workarounds that will suit your situation and allow you to access your file directly from the task without needing to open File Explorer each time.

1/ Use a plan backed by a Microsoft 365 group, even if you are the only member

This is the closest match to “attach a file from my PC and open it from the task” because it enables file upload attachments in Planner.

    • Create a plan that is connected to a Microsoft 365 group, and keep the group membership limited to you if you want the plan to remain private in practice.
    • Open the task you want to update, then go to the task details pane and choose Add attachment.
    • Choose File, browse to the file on your computer, and upload it so it becomes an attachment on the task card.
    • After it is attached, you can open the file directly from the task attachment area whenever you return to the task.

2/ If your private plan only offers “Link”, attach a file link while keeping access restricted

Some private or personal plans may only allow adding a link instead of uploading a file, because uploaded attachments rely on SharePoint backed storage in Microsoft 365 group plans.

    • Save the file in a location that can generate a secure share link that only you can open, such as a personal cloud location approved by your organization.
    • Create a link for the file with access limited to you, then copy that link.
    • In the Planner task, select Add attachment, choose Link, paste the link, and give it a clear display name such as “Source file” so it is easy to recognize.

3/ Keep your workflow simple by opening the plan’s “Files” area as your single storage spot

If your tasks belong to a group based plan, Planner provides a direct way to view all task attachments from one place, which reduces the need to search across folders.

    • Open your plan and use the plan menu to open Files so you can see the document library where Planner stores attachments for that plan.
    • Add or upload your working documents there so they stay tied to the plan’s storage location and remain easy to find later.
    • Attach the correct document to each task from the task’s attachment area so you can open it from the task card and also find it again in the plan’s Files view.

Alternatively, as a forum moderator, I hope you understand that I do not have the ability to change product behavior or escalate product design requests directly. Microsoft Planner is actively evolving, and Microsoft frequently reintroduces or improves capabilities based on customer feedback and usage patterns. However, I strongly recommend submitting your feedback through the Planner · Community. This is the most effective way to ensure your voice reaches the product team and can be considered about how company-only contacts are handled in search results, with potential improvements being considered  for future improvements.

You've clearly identified a real-world challenge, and your suggestion reflects a deep understanding of user needs - feedback like yours is truly valuable and helps shape the future of Microsoft team.

Additionally, as other users have raised similar concerns and may not be aware of where to share their feedback, I hope this response helps clarify the situation and suggests a potential next step. Highlighting this information can make it more visible to others in the community who may be facing the same issue, making it easier for them to find guidance and contribute their feedback as well.

Thank you again for your time and for raising this important usability concern. If you have any further questions or need additional assistance, please don’t hesitate to reach out.

Wishing you a smooth rest of your day.
