Excel 2024 Home ribbon paste function grays out after use

Just purchased Office 2024 yesterday for my macOS Tahoe 26.4.1. I had to chat with Microsoft (service request [Moderation note: PII removed]) to get the find/replace function to stop crashing the Excel program every time I tried to use it. After three chats and over three hours, they sent me an Excel updater file to fix that problem. Now today I'm having a paste function problem. When I opened a workbook, I copied/pasted a row. When I tried to copy/paste another row, I noticed that the paste function in the Home ribbon was grayed out (see below).

I've opened multiple workbooks and opened new workbooks. Typically, the first time I open them, the Home ribbon paste function is ready to use. But after the first use today, the paste icon was grayed out. Sometimes closing/re-opening the workbook allowed me to use the Home ribbon paste function again, but only once. Sometimes the paste function was grayed out upon re-opening, before I even tried to cut/copy anything. I've tried shutting down all workbooks and reopening multiple times. I've tried restarting my laptop multiple times.

So I started another chat (service request [Moderation note: PII removed]). He suggested my files (all saved in Excel 2019 version) are corrupt; but it happened on new workbooks too, so that's not making sense, is it??? He said the paste function always grays out until a copy or cut is initiated. I've worked with Excel too long and know that's just not true. After over an hour, he stated that this is a "Mac-specific ribbon behavior" and said to contact you.

I have used Excel at work for over 30 years and at home for over 40. Over 20 years of my financial data is on multiple worksheets in multiple workbooks. I LOVE Excel, and I still want to love it. But I'm getting frustrated. Can someone help me please??

    Hi, T erri

Since this also happens in brand-new workbooks, I would not treat this as file corruption. It sounds more like Excel for Mac is losing its copy state, or the Home ribbon is not refreshing correctly after the first paste.

Besides the solutions provided by the Q&A Assist, here are some suggestions you can try:

First, check whether Cmd+V or Edit > Paste still works when the ribbon Paste button is greyed out. If it does, the issue is likely with the ribbon display, not the actual paste feature.

It is suggested that you reset the Excel ribbon settings: go to Excel > Preferences > Ribbon & Toolbar, then reset the ribbon/customizations. After that, fully quit Excel and reopen it.

Also try pressing Esc, then copy the row again and select the destination cell with a single click only. If Excel thinks you are editing inside a cell, paste controls can become unavailable.

If it still happens, create a new macOS user account and test Excel there. If paste works normally there, the problem is probably in the current Mac user profile or Excel preferences, not your workbooks. At that point, I’d go back to Microsoft Support with both service request numbers and mention that the issue started after the updater file.

Good morning, Kai-H: I went to Excel/Preferences/Ribbon and Toolbar. I deleted the custom group that I created and - voila! - the Paste function in the ribbon became active again. I tested all of my current workbooks and opened new ones, and the Past function is now showing up correctly in all of them. THANK YOU SO VERY MUCH for your WONDERFUL advice. You are my HERO :-)

The behavior described matches general copy/paste issues in Excel rather than a permanent corruption of workbooks. Use the following checks and workarounds that apply to Excel on Mac and to clipboard-related issues:

    1. Confirm the paste target and range
      • If copying a whole row or range, ensure the paste area is compatible:
        • Either select only the upper‑left cell of the destination range and click Home → Paste.
        • Or pre‑select a destination range with the same number of rows and columns as the copied range, then click Home → Paste.
      • If the copy and paste areas differ in size/shape, Excel can block the paste and the ribbon button may appear unavailable for that operation.
    2. Check cell formats and columns when pasting larger blocks
      • When pasting a large amount of data, set the destination column’s Number Format to match the data being pasted, and paste one column at a time:
        1. Select the destination column header.
        2. On Home → Number Format, choose the appropriate format.
        3. Copy, then paste into that column.
      • If there are not enough destination columns, insert more columns first using Home → Insert and then paste again.
    3. Avoid multiple Excel instances and clipboard conflicts
      • Running multiple instances of Excel or other apps that hook into the clipboard can interfere with Excel’s internal copy/paste logic and cause paste options to fail or fall back to system behavior.
      • Keep workbooks in a single Excel instance and close unnecessary apps that may monitor or modify the clipboard (including browsers or add‑ins) while testing.
    4. Test Paste Special behavior
      • If Paste Special or the paste options are intermittently missing or disabled, check for conflicts:
        • Close all web browsers and test copy/paste again.
        • Start Excel in Safe Mode (on Windows this is done with CTRL+launch; on Mac, the equivalent is to test with add‑ins disabled) and see whether paste works reliably. If it does, re‑enable add‑ins one by one to find the conflicting one.
      • In environments where automation or add‑ins use the clipboard in parallel Excel instances, avoid clipboard‑based APIs and prefer value/array assignment instead.
    5. Check for known Excel for Mac issues and keep updated
      • Excel for Mac has had several recent reliability fixes. Ensure the latest updates for Office 2024 for Mac are installed, as clipboard and feature issues are often addressed in these updates.
      • If the issue persists even in a new, simple workbook after updates and after closing other apps, it may be a current Excel for Mac issue. In that case, gather details (version, steps to reproduce, whether it happens with all files) and provide them when contacting Microsoft Support again or posting to the Excel community.

If, after these steps, the paste button still consistently grays out after a single use in new workbooks with no add‑ins and only one Excel instance running, this points to an application/installation issue rather than workbook corruption. Reinstalling Office for Mac has resolved similar unexplained Excel behavior for some users.
