Issue Sharing Documents on OneDrive

No one here knows why you can't share OneDrive files, because you haven't told us what your procedure is and what's stopping you. I can tell you how I successfully share files in OneDrive:

1- I sign in to my OneDrive online

2- I select the file I want to share.

3- I click on the three dots after the file name and choose Share.

4- I add the addresses of the people with whom I want to share.

5- I include whatever message I want to include.

6- Finally, I click on the blue Send button.

 Regarding your issue, may I kindly ask a few questions to help understand it better. 

• I saw that you posted your question under the Business category so to better support you, would you mind letting me know is this account a personal Microsoft account (e.g., account.microsoft.com) or a work/school account (e.g., myaccount.microsoft.com) provided by an organization?         
• What happens when you try to share is the option missing, greyed out, or do you get an error? Could you provide a screenshot of the issue if possible? 
• Are you sharing with people inside or outside your organization? 
• Can you share other file types (Word, PDF) from the same OneDrive? 
• Does this happen with one specific file or all Excel files?

Several common OneDrive or Excel conditions can prevent sharing, even when the file is saved in OneDrive.

Check each of these in order:

1. File is in Personal Vault
   Items stored in OneDrive Personal Vault cannot be shared.
   • Move the Excel file to a folder outside Personal Vault, then try sharing again.
2. Sharing limits reached (OneDrive basic / storage-only)
   OneDrive accounts with basic or “storage only” status have stricter sharing limits.
   • If many links/emails were sent recently, sharing may be temporarily blocked. Limits reset after 24 hours.
   • For higher limits and more sharing features, upgrade to a Premium subscription.
3. OneDrive not running on the desktop
   If sharing is attempted from File Explorer and OneDrive is not running, the Share option may be missing.
   • Start OneDrive and sign in.
   • Alternatively, go to onedrive.com, locate the Excel file, and use Share from there.
4. Organization policies blocking or restricting sharing (work/school account)
   For business accounts, admins can:
   • Disable sharing or restrict Anyone with the link links.
   • Disable or gray out the Share option in File Explorer.
     In this case, only people in the organization may be allowed to access the link, or sharing may be disabled entirely. Contact the Microsoft 365 admin to review OneDrive/SharePoint sharing policies and User Account Control policies for OneDrive context menus.
5. Account validation issues
   If sharing emails fail to send:
   • Go to https://account.live.com/reputationcheck to validate the Microsoft account.
   • Ensure the Microsoft account profile is complete and Terms of Use are accepted.
6. Recipient account requirements
   In some cases, sharing to specific people who do not have a Microsoft account may be blocked, depending on configuration. Use a different link type (e.g., “Anyone with the link”) if allowed by the organization, or ask the admin to adjust settings.
7. How to share Excel files correctly from Office / OneDrive
   Once the above are checked:
   • From Excel: use Share on the ribbon (or File > Share), choose recipients and permissions, then Send. If the file is not yet in OneDrive, Excel will prompt to upload it first.
   • From OneDrive (web or File Explorer): right-click the file > Share, choose recipients and permissions, optionally add a message, then Send.

If the Share button appears but recipients still cannot open the file, a sensitivity label or organization policy on the file may be blocking access; contact the admin to review those protections.
