How do I grant ready access to a guest if they do not show as external in a Teams meeting chat?

    Hi Cecillia,

If by “grant access” you mean give the guest access to the Teams meeting chat, the key point is that “External” and “Guest” are different identities in Microsoft Teams.

First, check what type of participant they are:

    • Guest: They have been added to your organization as a Microsoft Entra B2B guest. Guest access allows broader collaboration, including Teams resources, chats, files, and meetings.
    • External: They are using their own organization's Teams account and are communicating with your organization through External Access. They don't automatically have access to your Teams resources.
    • Anonymous: Teams cannot verify them as a trusted external or guest user.

For reference: Use guest access and external access to collaborate with people outside your organization - Microso…

If you specifically need them to be a Guest, an administrator can add the person's email address as a guest user in your Microsoft Entra ID and then add that guest to the appropriate Team. Microsoft notes that guests must be added to at least one Team before guest-access functionality becomes available.

The Teams administrator should also verify:

Teams admin center > Users > Guest access > Guest access = On

The administrator can also control guest capabilities such as meeting participation, chat, video, and screen sharing there.

If your goal is only meeting-chat access, you may not need to convert the person to a Guest. External participants can participate in Teams meetings and meeting chats, depending on your organization's external-access settings and the meeting organizer's chat settings. However, please note that people who are external and aren’t invited to a meeting can’t be added directly to the meeting chat before, during, or after the meeting. Adding external people directly to a meeting chat will prompt the creation of a new group chat.

If the person is a guest or external participant and does not appear as available in the existing meeting chat, the access model matters:

    • External access users can chat and join meetings, but they do not have access to teams, channels, or other Microsoft 365 resources.
    • Guests can access teams, documents, resources, chats, and apps, but they must be added as a guest account and added to at least one team.

    For a meeting chat:

    1. In Teams, open Chat.
    2. Open the meeting chat.
    3. Select View and add participants > Add people.
    4. Enter the person’s name, email, or tag.
    5. Choose how much chat history to share.
    6. Select Add.

    Important limits:

    • Only people in the organization can be added directly to an existing meeting chat.
    • People outside the organization can’t be added to an existing meeting chat. If an external person is added, Teams prompts to create a new group chat instead.
    • For channel meetings, chat is available only to channel members. To give access, add the person to the channel.
    • If permanent access is needed after the meeting, another participant can forward the entire meeting series or add the person directly to the meeting chat when that is supported.

If the goal is to give an outside collaborator ongoing Teams collaboration access, use guest access rather than external access. Guest access creates a guest account in Microsoft Entra ID, and guests can participate in chats and collaboration features after being added to at least one team.
