Issue with Email Search Functionality in Outlook

Dear [Support Team/Outlook Support],

I am experiencing an issue with the search functionality in the Outlook application. Specifically, when I attempt to search for emails, the search results are not displaying as expected. On some occasions, the search doesn't work at all, and it returns no results despite emails clearly being present in my inbox.

Details of the issue:

  • The search bar seems unresponsive or shows no results for valid search queries.
  • The issue occurs intermittently, and sometimes the search works after multiple attempts, but often it doesn't.
  • I have tried basic troubleshooting steps, such as restarting the app, checking for updates, and clearing the cache, but the problem persists.

Could you please assist with resolving this issue? Any suggestions or steps I can take to troubleshoot further would be greatly appreciated.

Thank you for your assistance.

    Hi @Azzam Kellani

Regarding your issue, may I kindly ask a few questions to help understand it better.

    • I saw that you posted your question under the Business category so to better support you, would you mind letting me know is this account a personal Microsoft account (e.g., account.microsoft.com) or a work/school account (e.g., myaccount.microsoft.com) provided by an organization?
    • Is this issue affecting only your account, or are other users in your organization experiencing the same search problem as well?
    • Was Outlook search working correctly before and then stopped, or has it never worked as expected?
    • I noticed this was submitted under the Outlook on the web tag could you please confirm whether the same issue also occurs in the Outlook desktop app, or is it limited to Outlook on the web only?
    • Have you already tried the troubleshooting steps outlined in the following Microsoft article? For more details, please refer to: Troubleshooting Outlook search issues
    • Have you also tried renaming Outlook folder following the steps below yet.
      • Close Outlook completely (check Task Manager by pressing Ctrl + Shift + Esc to ensure no "Outlook" processes are running).
      • Press Win + R, type %localappdata%\Packages, and hit Enter.
      • Find the folder named Microsoft.OutlookForWindows_8wekyb3d8bbwe (the string at the end might vary slightly, but it will start with Microsoft.OutlookForWindows).
      • Rename this folder to Microsoft.OutlookForWindows.old
      • Restart Outlook. You will have to sign in again.

Hope to hear back from you soon.

The initial response may not fully address your needs, but it will help me better understand your situation. Once I get the information, I will try my best to find the next steps.

For Outlook search issues like missing or no results, use these steps depending on whether Outlook is the new or classic Windows app.

    1. Determine Outlook version
    • If there is no File option on the ribbon, it is the new Outlook for Windows.
    • If there is a File option, it is classic Outlook.
    1. New Outlook for Windows – improve search results
    • Adjust search scope and filters:
      1. Go to Settings > General > Search.
      2. Set the default scope to Current Folder or All Folders as needed.
      3. When searching, use filters to narrow results so older items are not hidden when there are many matches.
    • Include Deleted Items if needed:
      1. Go to Settings > General > Search.
      2. Under Search results, enable Include deleted items and select Save.
    • Ensure enough mail is downloaded for search:
      1. Go to Settings > General > Offline.
      2. Under Days of email to save, choose a longer period or the maximum available.
      3. Select Save.
    1. Classic Outlook – if search returns no or incomplete results
    • Include Deleted Items in search:
      1. Select File > Options > Search.
      2. Enable Include messages from the Deleted items folder in each data file when searching in All Items.
      3. Select OK, then restart Outlook.
    • Increase how much mail is cached locally (for indexing):
      1. Select File > Account Settings > Account Settings.
      2. On the Email tab, select the account and choose Change.
      3. Move Download email for the past slider to a longer period or to All.
      4. Select Next > Done, then restart Outlook.
    • Allow search to show all results (not just 250):
      1. Select File > Options > Search.
      2. Clear Improve search speed by limiting the number of results shown.
      3. Select OK, then restart Outlook.
    1. If problems persist
    • For POP, IMAP, or offline Exchange accounts, follow the advanced steps in No search results for POP, IMAP, or Exchange accounts from the linked article.
    • As a last resort, uninstall and reinstall Office using the Microsoft 365 uninstall troubleshooter; if that does not fully remove Office, follow the manually uninstall Office steps from the same article section.
