Teams town hall meetings: 'Save and send invites' recipients

In Microsoft Teams, can you please tell me who exactly is supposed to receive an email invite to a town hall meeting when you click 'Save and send invites'? I clicked this button, and neither the organizers, the presenters or the attendees received anything.

Thank you.

    Hi @GUEBEL Martine (GROW-EXT)

I hope you are doing well.

Thank you for reaching out and explaining what happened with your town hall invitation.

The behavior you described, where organizers, presenters, and attendees did not receive an email invitation, can occur under certain conditions in Microsoft Teams. Most commonly, this happens if the town hall has not yet been published, if attendee email notifications are turned off, or if unsupported recipient types were used. In these cases, the event may exist in the calendar, but Teams does not automatically generate or send invitation emails.

To help identify and resolve the cause, please review and follow the steps below:

    1. Ensure the town hall has been published
    • In Teams calendar, select your town hall.
    • Confirm it has been published.

    • If the event was only saved, attendees may not receive the attendee invite yet.
    1. Check whether attendee emails were turned off
    • Town hall emails are turned on automatically, but they can be turned off before publishing.

    • If Enable attendee emails is turned off under Details then Invite attendees, Teams will not send town hall email invites.
    1. Check the attendee recipient type
    • Microsoft 365 security groups that are not mail enabled will not receive email invites.
    • Dynamic groups are not supported.

I hope this information is helpful. Please follow the steps above and let me know if it works for you. If not, we can continue working together to resolve the issue.

When Save and send invites is selected in a Teams town hall, email invitations are sent to:

    1. The organizer
    2. Any co-organizers added in Event group
    3. Any presenters (internal and external) added in Event group
    4. Any attendees added under Invite attendees

    The documentation states that:

“Organizers, co-organizers, presenters, and invited attendees will receive email invites that have dial-in codes for joining by phone. External presenters won't be able to join by phone.”

If none of these recipients received an invite after selecting Save and send invites, then the behavior is not matching the documented expectation and would need further investigation in the tenant (e.g., mail flow, spam/junk, or admin policies), but by design all four roles above should receive the email.
