To end up with only the 1 TB OneDrive account, the account credentials for that Microsoft account must first be recovered, then the extra/free account can simply be left unused.
Because the usernames and passwords are no longer known, the next steps are all account‑recovery steps:
- Identify which Microsoft account is tied to the 1 TB subscription
- If the Microsoft 365 subscription that includes 1 TB OneDrive was purchased, the email used at purchase time is the Microsoft account for that 1 TB storage.
- If unsure which address was used, follow the guidance under I forgot the account I use with Microsoft 365 to check which products are associated with which account and to recover the username:
- Use You forgot your Microsoft account username and Check products or services to find the Microsoft account that has the Microsoft 365/OneDrive 1 TB subscription.
- Recover sign‑in access to that account
- Once the likely email address is known, use the standard Microsoft account recovery options:
- Use Reset your Microsoft account password to set a new password.
- If the username itself is forgotten, use You forgot your Microsoft account username first.
- If sign‑in still fails, follow When you can't sign in to your Microsoft account for additional recovery steps.
- Handle the second (5 GB) account
- If there are two accounts with the same email address (for example, a personal Microsoft account and a work/school account), the sign‑in prompt may ask Which account do you want to use?
- To reduce confusion:
- Optionally rename the personal Microsoft account by changing its primary alias via Manage how you sign in (see How can I have two accounts with the same email address?). This does not delete data but changes the sign‑in address.
- Or simply stop using the free 5 GB account once the 1 TB account is accessible again.
- Use only the 1 TB account going forward
- After regaining access to the correct Microsoft account, sign in to OneDrive on all devices only with that account.
- If signed in with the wrong account in OneDrive apps (for example on iOS), sign out of that account (tap profile picture → Sign out) and sign back in with the 1 TB account.
