I understand you’d like to know whether Microsoft Bookings allows you to accept or reject appointments after customers schedule them.
At this time, Microsoft Bookings does not support an approval (accept/reject) workflow for customer made appointments. This is by design.
When a customer books an appointment:
- The booking is automatically confirmed
- It is immediately added to the Bookings calendar
- It is synced to Outlook for the assigned staff
- There is no “pending” or “awaiting approval” status
In other words, Bookings does not provide a built‑in option for staff to formally approve or decline a request before it becomes confirmed.
While you cannot reject an appointment through an approval process, you can still decline a booking operationally:
- Open Outlook > Calendar (or the Bookings calendar)
- Open the appointment
Or if it is a shared booking page
- Select Cancel
- Add a message explaining the reason
- Send the cancellation
The customer will receive an official cancellation email. This is currently the only supported method to “reject” a booking within Microsoft Bookings.
The best way to request this capability is to submit feedback directly to Microsoft so the product team can review and evaluate the suggestion. This is the most effective path forward, as Microsoft product teams actively monitor customer feedback, and many features and improvements are driven by these requests.
