I am using Microsoft Bookings to schedule appointments, but want to be able to accept or reject an appointment. Is this possible within microsoft bookings?

Would the rejection of such bookings be allowable on the phone?

    Hi @Arisa Wong

Thank you for posting your question in the Microsoft Q&A forum.

I understand you’d like to know whether Microsoft Bookings allows you to accept or reject appointments after customers schedule them.

At this time, Microsoft Bookings does not support an approval (accept/reject) workflow for customer made appointments. This is by design.

When a customer books an appointment:

    • The booking is automatically confirmed
    • It is immediately added to the Bookings calendar
    • It is synced to Outlook for the assigned staff
    • There is no “pending” or “awaiting approval” status

In other words, Bookings does not provide a built‑in option for staff to formally approve or decline a request before it becomes confirmed.

While you cannot reject an appointment through an approval process, you can still decline a booking operationally:

    1. Open Outlook > Calendar (or the Bookings calendar)
    2. Open the appointment User's image Or if it is a shared booking page User's image
    3. Select Cancel
    4. Add a message explaining the reason
    5. Send the cancellation

The customer will receive an official cancellation email. This is currently the only supported method to “reject” a booking within Microsoft Bookings.

The best way to request this capability is to submit feedback directly to Microsoft so the product team can review and evaluate the suggestion. This is the most effective path forward, as Microsoft product teams actively monitor customer feedback, and many features and improvements are driven by these requests.

    You can submit feedback here:

Visit: Bookings · Community (Feedback Portal)

    Select Send feedback

Describe your request clearly, for example:

“Add an option for staff to accept or reject appointments before they are confirmed in Microsoft Bookings.”

If you submit feedback, feel free to share the link here. I’d be happy to support it with an upvote, and it can also help others with the same requirement.

As forum moderators, we don’t have the ability to change or override Microsoft Bookings product limitations, but we’re always happy to clarify current behavior and guide you to the appropriate feedback channels.

Thank you for your time and understanding. While this may not be the outcome you were hoping for, I hope it clearly explains what is and isn’t currently possible with Microsoft Bookings.
